We hope you had a fantastic summer! Welcome to the 2024-25 PTA Term! Thank you for stepping into this important role within your local PTA. Your commitment to PTA sets the stage for a year brimming with amazing programs and activities for your school community. All of this is made possible by the hard work of not only you, but that of your executive board and the rest of your PTA volunteers.

As a local leader, your dedication to PTA is a powerful force for good in our schools and communities. PTA isn’t just about the events and activities, it’s also about the small, everyday actions that you take as a leader. It’s about taking the time to listen to the concerns and needs of your members and finding creative solutions to the challenges you face. It’s about making sure that every voice is heard and that everyone feels welcomed, valued, and included in the work of PTA.

Health and Community Concerns Survey

We are inviting all PTA members to participate in our Health and Community Concerns survey to get a pulse on the topics that are important in your local schools and neighborhoods. We encourage local PTAs to share this survey with other interested community members. The survey will be available on our website through the end of June 2022.

Program Manager (School Smarts)

General Description

The Program Manager is a full-time, exempt position based in the PTA state office in Sacramento that performs professional and administrative work to advance the goals of California State PTA, with an emphasis on the School Smarts Parent Engagement Program, including managing logistics, coordinating day-to-day functions, facilitating communications, and ensuring successful delivery of the program to an expanding number of school sites throughout California.

The position reports to the Director of Programs & Grant Development and works closely with regional and local and state PTA leaders, school district and school administrators and staff, consultants, PTA staff, the executive director, partner organizations and others.

Classification:

This position is classified on the exempt salary schedule as Program Manager.

Salary Range:

$58,240 to $71,200

Responsibilities:

  • Serve as staff lead and liaison for program delivery and logistical questions from School Smarts facilitators, coordinators, school district staff and PTA leaders
  • Works closely with the Director of Programs & Grant Development (and other staff and volunteer leaders, as appropriate) to:
  • Develop and implement plans and models for effective delivery and expansion of the program, including timelines and deliverables, budgeting, marketing, fundraising, training, communications and other aspects.
  • Improve program and service quality by establishing and/or refining processes, assessing efficiency, and recommending creative solutions, including those related to delivery of training and materials;
  • Identify, develop and implement technology solutions to existing challenges that improve efficiency and productivity;
  • Oversee data systems to improve delivery and support for all School Smarts activities, build the School Smarts graduate “community”, and support program and policy research and evaluations.
  • Develop and implement communications strategies, in coordination with communications staff, that:
    • market and promote the value of the program, including development of print and digital materials;
    • Support Family Engagement strategies and
    • Contribute to PTA organizational priorities
  • Develop and maintain web-based content, videos, communication tools, and training resources for program in coordination with communications staff.
  • Develop and oversee systems in collaboration with accounting staff to effectively maintain program-related records, contracts, and MOUs for facilitators, school districts, and coordinators, including coordinating payment; tracking facilitator reports, and ensuring completion of surveys and pre and post questionnaires.
  • Develop and oversee processes for maintaining, ordering and shipping materials, supplies and resources to participating sites, including facilitator and coordinator handbooks and materials; training resources; curriculum and handouts; art supplies; program information kit; graduation certificates, and others.
  • Oversee process and implementation of customization, preparation and printing of PEN fliers, parent academy brochures, PEN handouts and other materials for school sites.
  • Assist with planning and delivery of facilitator and steering committee trainings and Convention-related activities in support of the program
  • Assists with researching, developing and carrying out resource development strategies that lead to increased funding for the School Smarts program.
  • Performs other duties, as assigned.

Additional Responsibilities:

  • Attends meetings and events as required.

Working Conditions/Physical Demands:

  • Travel required 20% especially during heavy seasonal needs
  • May lift, carry and/or move objects weighing up to 25 pounds

Minimum Qualifications:

  • Bachelor’s degree and minimum of 2-3 years of experience as a Program Manager
  • Knowledge of family engagement, education and Local Control Funding Formula desired
  • Highly organized and able to manage a large number of priorities and deadlines at one time
  • Detail oriented, self-starter and highly motivated
  • Proficient using Microsoft Office including Word, Excel, PowerPoint and Outlook
  • Team player who thrives in a busy environment
  • Bilingual with fluency in Arabic, Chinese, Spanish, Tagalog or Vietnamese highly preferred

California State PTA Invites You to a Panel on Student Mental Health in California Schools

Join the California State PTA Legislation Team on March 15th to hear a panel of experts from CA Association of School Counselors, CA School Social Workers Association, CA Association of School Psychologists, and First 5 California discuss how our kids’ mental health is impacting their schooling, and their take on what can and should be done.

SPEAKER BIOS


Cristina Dobon-Claveau
, LCSW, PPSC has been a School Social Worker for 16 years.  She has been on the CASSW Board since 2017,  She began her career in the Minneapolis area serving students in K-12 settings.  Since moving to California she served in various roles in Sacramento area districts as a School Social Worker doing PBIS coaching, ERMHS counseling, and most recently implementing Wellness Centers in a local high school district.  Currently, she is a Coordinator of Mental Health and Wellness for the Sacramento County Office of Education.  She has a passion for ensuring students have access to mental health and social-emotional supports in schools.

Jackie Thu-Huong Wong, MSW, PPS serves as Executive Director for First 5 California and is a professor for Sacramento State’s School Nursing Credential program. She has extensive experience in the non-profit and public sector having served as executive staff for GRACE/the End Child Poverty CA campaign; the National Center for Youth Law; Statewide Foster Youth Services Director at the California Department of Education; and Senior Policy Advisor to California Senate President Darrell Steinberg.  Ms. Wong prides herself in being a school-based social worker who has a focus on strong comprehensive collaborations across agencies and diverse stakeholder groups.

Dr. Maureen Schroeder has been a school psychologist for 22 years, has been a graduate educator for the last 12 years, and has earned her doctorate degree in Educational Psychology.  She is currently working for Elk Grove Unified School District, providing mental and behavioral health support to middle school students.  Aside from being a practitioner, she is also actively involved in our State and National association, currently Immediate Past-President of CASP and NASP California Delegate.  She is also an Assistant Professor for UMass Global, School of Education, and oversees their School Psychology program.

Dr. Loretta Whitson is the Executive Director for the California Association of School Counselors (CASC), the largest state association representing school counselors in the nation.  CASC guides schools towards linking school counseling to their overall mission and vision. Dr. Whitson, well regarded within the profession of school counseling, provides policy recommendations and advises state and local decision-makers on educational issues. Whitson spent 25 years as a school district administrator and school counselor in the Monrovia Unified School District. Dr. Whitson’s work in Monrovia was instrumental in the interconnections between school- and community-based mental health services. She also served as a Commissioner on the California Commission on Teacher Credentialing and was an Assistant Professor and Chair of the Educational Counseling Program at the University of La Verne.

Coordinate your Proclamation Locally

  • Everyone should have the chance to participate. Coordinate locally so you don’t have several requests go to the same government agency.
  • Individual school site PTAs can talk to their principal and see if the PTA can be highlighted at a virtual or in person assembly. 
  • Council PTAs can consider asking the School Board and the city or cities in their council to recognize them during a meeting.
  • District PTAs can consider asking the county/or county’s Board of Supervisors and Board of Education to recognize them during a meeting

  • Contra Costa County Board of Education (CCCBOE) added Resolution 25-21/22 to their February 9th Board Agenda to recognize California State PTA Day.
  • Mayor of the City of Pleasant Hill Michael G. Harris, OD commends PTA on the occasion of its 125th anniversary and proclaims February 17, 2022 as “PTA Appreciation Day”.
  • Mt. Diablo Unified School District Governing Board has approved a resolution recognizing Thursday, February 17th, 2022 as the 125th Anniversary of the National Parent Teacher Association (PTA) and California State PTA Day.

Programs and Grants Assistant

General Description:The Programs and Grants Assistant performs administrative work in support of various programs, services, commissions and committees of the association, as well as supporting general operations. This position reports to the Program Manager. This position interacts with committee and commission chairs and members, members of the board and various staff departments, as well as school and district staff, clients, consultants/service providers, and partners.

Classification: This position is classified on the non-exempt salary schedule as Administrative II.

Salary Range:$19.50 to $23.37/hour

Essential Functions:

  • Works closely with the Program Manager and other staff and volunteer leaders to support the School Smarts Parent Engagement program, including:
    • Developing timelines and implementing activities for the successful preparation, ordering and delivery of various program materials and deliverables;
    • Assisting with logistics and follow-up;
    • Compiling, inputting, and maintaining a range of data and information to facilitate smooth functioning and reporting out on the program;
    • Maintaining School Smarts records including updating program evaluation components, contact lists, and program information as needed;
    • Preparing agreements, facilitating appropriate reviews/approvals and maintaining all relevant agreements and fiscal records;
    • Facilitating/ensuring that requests for payments are submitted and processed;
    • Recommending ways to improve service and/or refine processes;
    • Providing other general administrative and clerical support to the School Smarts team, committee, client sites/districts, facilitators, coordinators and others, as requested.
  • Provides administrative support to the Director of Legislation, including consulting with the Chair and assisting with meeting preparation, including the annual Legislation Conference in consultation with the Meetings & Facilities Manager.
  • Provides administrative support for the legislative advocacy operations of the association by preparing reports, filing, bill pickup and mailing through the bill service; maintaining and updating the online bill tracking service; preparing the monthly, semi-annual and annual Legislation Report; handling incoming calls from outside sources such as legislative staff and other organizations; coordinating the signing and sending of certain legislative letters and documents; and tracking legislative bill files and updating them as requested.
  • Provides administrative support to the Reflections Committee, Scholarships & Grants Committee, and Arts Education Committee. Some duties can include assisting volunteer chairs and managerial staff with planning and logistics for meetings, implementation, follow-up, record-keeping and data management, copying, collating, and filing.
  • Performs administrative and clerical work in support of other programs (including potential future programs pursued by the organization), services, commissions, and committees, as assigned.
  • Serves as the primary backup to the administrative assistant by performing general administrative support and receptionist duties.
  • Assists with special projects, as assigned.
  • Follows all established procedures.
  • Performs other duties as assigned.

PTA insurance Premiums are due now. Check with your PTA Council or District for your insurance due date. Your regular PTA insurance premium of $282 for local PTA units is due no later than December 20! Insurance received by AIM after December 20, is subject to a $25.00 late fee. DO NOT SEND INSURANCE PREMIUMS THROUGH CHANNELS!  

If you pay for additional insurance above and beyond the standard rate, you need to contact AIM insurance directly to receive an invoice for the additional premiums. Once your payment is processed, you will receive an insurance certificate specific to your PTA. Many school districts require a new copy of the insurance certificate each year showing your coverage.
