EXHIBITOR INFORMATION

Exhibition Dates

Exhibition Setup: Thursday, May 1, 2025 from 9am-3pm
Mandatory Exhibitor Briefing: May 1, 2-25 from 3:30pm (in Exhibit Hall)
Exhibition Dismantling: May 3, 2025 from 3pm-7pm
Note: Exhibition Hall is NOT open on Sunday, May 4, 2025

Exhibit Hall Hours

Thursday, May 1, 2025 from 4pm-7pm
Friday, May 2, 2025 from 8am-2:45pm
Saturday, May 3, 2025 from 8am-2:45pm

In total, it is 2.5 days of exhibit hall display time with a total of 16.5 hours of time to interact with our delegates. The expectation is that your booth will be fully operational and staffed the entire time Exhibit Hall is open.

Registration for Exhibitors opens January 13, 2025-March 31, 2025

Registration details will be available early January 2025.
Exhibitor registration is on a first come, first serve basis! To get the best booth location, be sure to register online early! Exhibitor registration is not available onsite.

Exhibition Booth Pricing

Early Bird pricing ends Friday, February 14, 2025 at 12pm (PST)
Vendor payment-in-full due upon completion of online registration. There are no refunds upon cancellation by an exhibitor.

Booth Information

All exhibitor booths measure 10′ x 10′ and include:

  • Convention Center parking
  • Two booth staff at no charge; additional staff cost of $25 per person. (Maximum 5 staff per booth at time)
  • Access to Exhibitor Lounge with complimentary water, coffee, tea & daily breakfast pastries
  • Back and side rail draping
  • Two chairs
  • One 6ft table with table cover
  • Sign (as filled out in online application)

Additional Information

  • Vendor Insurance Due: March 31, 2024 (Certificate of Insurance and Additional Insured Endorsement)
  • Accommodations/Housing Reservations open: March 2025 (feel free to make your own reservations at nearby hotels)
  • Service Kit or any addition items like carpeting available upon request at additional cost
  • Lead Retrieval Device Rentals available upon request at additional cost
  • Internet & Technology needs available upon request at additional cost
  • Convention Mobile App available for exhibitors to navigate the map and receive general information throughout convention. The app typically launches a week before convention.
  • Exhibitor Scavenger Hunt is optional for exhibitors to participate in and available for sign-up during your online registration process to encourage more foot traffic to your booth. Interested exhibitors should bring a door prize with a minimum value of $25. Prizes will be collected upon onsite check-in prior to opening.
  • Food Permit Form: Exhibitors may dispense refreshments/samples from their booth. Liquids may not exceed 2 ounces and food may not exceed 1 ounce. The Ontario Convention Center Food Permit Form must be completed and returned to the convention center no later than 2 weeks before the convention.

Exhibit Hall Selection

Booth selection is on a first come, first serve basis and is only guaranteed when online registration is completed including required documents and full payment no later than March 31, 2025.
